Easy Ways to Improve your Office Communication

If you want to improve your office communication, then you will know how difficult this can be. You may feel as though you just don’t know where to start and that you are also unable to take into account everyone’s needs too. If you follow the below tips however then you will soon find that issues like this are a thing of the past.

Establish a Foundation

The more your team trusts you, the more likely they will be to communicate with you when they have a problem. One great way for you to lay down this foundation would be for you to establish some kind of rapport with your team. You might also want to learn about their personal interests and what their pet peeves are. If you do this then this will really open up a line of communication and it will also help them to connect with you more openly too.

Instill Communication

Another thing that you can do is instill communication. Invest in chat, email and other ways for your team to chat with one another. Your IT services team will normally be able to help you with this.

Prove that You Can Be Trusted

One-quarter of employees don’t actually trust their employer. The core of the issue usually is pretty straightforward to solve. If you want to help your team then you need to learn about their dilemmas and follow through with ways that you can help. When you have done this, you then need to make sure that you actually follow through with your promise. If you don’t then this will breed distrust.

Have a Monthly One-on-One

Sometimes your employees may worry that they are burdening you with their concerns or worries. They might not feel as though they can just come up to you and tell you about their day either, but if you want to help them then you have to make sure that you set up reoccurring meetings. When you do you can then touch base and you can also iron out any kinks that might be present.

Explain Why

This one might sound strange, but it really helps your team. When you ask someone to do something, tell them why so that they understand how them putting the effort in is going to transform into a positive result. This will give your team members the chance to question what you are asking them to do and it will also help them to be much more productive in the workplace too.

Avoid Making Assumptions

One of the biggest inhibitors of quality communication is formed assumptions. If you know that your employee is lagging in an area where you would normally expect them to excel then don’t assume that they are being lazy or even that they don’t care. This probably won’t be the case at all. Instead, you need to use a non-confrontational setting to find out where the problem is.  You may find that they are having a hard time focusing at work, or even that they are not able to handle the workload that you have given them and are therefore feeling overwhelmed. If this is the case, then it’s important that you give them support rather than assume.
